Privacy Policy

This notice explains how we handle personal data we collect when you respond to our advertising — for example, by submitting a LinkedIn Lead Gen Form, clicking one of our ads, or requesting a demo. It supplements our main Privacy Policy and our Cookie Notice.

1. Scope

This notice applies to personal data we collect through our advertising and lead-generation activities, including:

  • LinkedIn Lead Gen Forms and other social-platform lead forms

  • "Request a Demo," "Contact Us," and newsletter sign-up forms on our website or landing pages

  • Ad clicks and conversions tracked through advertising platforms

  • Events, webinars, and gated content (whitepapers, case studies)

It does not cover the data our platform processes on behalf of our enterprise customers. Data that customers route through the Shrouva platform is governed by our Data Processing Agreement and customer contracts, where we act as a processor, not a controller.

2. The personal data we collect

When you respond to our advertising, we may collect:

  • Identity and contact data — name, business email, phone number, job title, and the company you work for.

  • Professional data — industry, company size, country/region, and any details you provide about your role or interest in Shrouva.

  • Submission content — any message, question, or context you include in a form field.

  • Advertising and analytics data — the ad, campaign, or landing page that referred you; UTM parameters; click and conversion identifiers; approximate location derived from IP; and device/browser information.

  • Platform-provided data — where you submit a form on a third-party platform (e.g. LinkedIn), that platform may share profile fields you have authorized it to release (such as your professional email and employer).

We do not intentionally collect special-category data (such as health, biometric, or political data) through advertising, and we ask that you not include it in free-text fields.

3. How we collect it

  • Directly from you when you complete a form or contact us.

  • From advertising platforms (such as LinkedIn, Google, or Microsoft) that operate the ad or lead form and pass us the data you submitted, subject to their own terms and your consent on their platform.

  • Through cookies and similar technologies used for ad measurement and conversion tracking, as described in our Cookie Notice.

4. Why we use it, and our legal basis

Purpose

Legal basis (GDPR/UK GDPR)

Respond to your demo request or inquiry

Performance of a contract / steps prior to a contract, or our legitimate interest in responding to you

Send you information about Shrouva products, events, and content you requested

Consent, or legitimate interest in B2B marketing where permitted

Qualify, score, and route your inquiry to the right team

Legitimate interest in operating an efficient sales process

Measure and improve advertising performance

Consent (for non-essential cookies/tracking) or legitimate interest, depending on jurisdiction

Maintain records, prevent fraud, and meet legal obligations

Legitimate interest and legal obligation

Where we rely on consent, you may withdraw it at any time (see Section 8). Where we rely on legitimate interests, you have the right to object.

5. Marketing communications

If you ask for a demo or content, we will contact you about that request. We may also send you related marketing communications where the law permits. Every marketing email includes an unsubscribe link, and you can opt out at any time by clicking it or by emailing info@shrouva.com. Opting out of marketing will not stop essential service messages related to a request you made.

6. Who we share it with

We share advertising and lead data only with:

  • Service providers (processors) who act on our instructions — for example, our CRM, marketing-automation, email-delivery, and analytics vendors. They are contractually bound to protect your data and use it only for the services they provide to us.

  • Advertising platforms, where you interacted with their lead form or where conversion measurement requires it, governed by their own privacy terms.

  • Professional advisors, acquirers, or authorities where necessary for legal, audit, corporate-transaction, or regulatory reasons.

We do not sell your personal data, and we do not share it for cross-context behavioral advertising in the sense defined by the California Privacy Rights Act (CPRA), except as you direct through the advertising platform's own settings.

7. International transfers

We may transfer your data to countries outside your own, including the United States. Where we do, we use appropriate safeguards such as the EU Standard Contractual Clauses, the UK International Data Transfer Addendum, or an equivalent recognized mechanism. You may request a copy of the relevant safeguards using the contact details above.

8. How long we keep it

We keep advertising and lead data for as long as needed to pursue the inquiry and for our legitimate business and record-keeping purposes. As a guide:

  • Active leads and opportunities: for the duration of our engagement plus [e.g. 24] months.

  • Leads that do not progress: [e.g. 24] months from last contact, then deletion or anonymization.

  • Suppression/opt-out records: retained as long as necessary to honor your opt-out.

Actual periods may vary based on legal requirements and our retention schedule.

9. Your rights

Depending on where you live, you may have the right to:

  • Access the personal data we hold about you.

  • Correct inaccurate or incomplete data.

  • Delete your data ("right to erasure").

  • Object to or restrict certain processing, including direct marketing.

  • Withdraw consent at any time.

  • Data portability — receive your data in a portable format.

  • Opt out of sale/sharing and of targeted advertising (California and similar U.S. state laws), and to be free from discrimination for exercising your rights.

  • Lodge a complaint with your data protection authority (e.g. your EU/UK supervisory authority).

To exercise any right, contact us at info@shrouva.com. We will verify your request and respond within the timeframe required by applicable law. You may use an authorized agent where the law allows.

10. Cookies and tracking

Our ads and landing pages use cookies and similar technologies for conversion measurement and analytics. Where required, we request your consent through our cookie banner, and you can manage your preferences at any time via Cookie Settings. See our Cookie Notice for details.

11. Children

Our advertising and platform are directed at businesses and professionals. We do not knowingly collect personal data from anyone under 18. If you believe a minor has provided us data, please contact us and we will delete it.

12. Changes to this notice

We may update this notice from time to time. We will post the revised version here with a new "Last updated" date, and where required, we will notify you of material changes.
